SEEKING BETTER CONTROLS FOR AN INTEGRATED WORKFLOW
Like many contractors, OCL Group initially used Excel to manage their billing. Though Excel is very simple and inexpensive, OCL Group found it didn’t provide the level of control and seamless integrations needed as the business grew, and the admin team scaled accordingly. As Jenna Hendrickson, Operations Services Lead at OCL Group explains: “We got big enough that it just made sense to have better controls in place. For example, with an Excel sheet, there’s no locking. We needed consistency and something to integrate our billing with our payroll exports, which was challenging with Excel.” Hendrickson says that when it was just one administrator and one payroll person, it wasn’t too burdensome, but when OCL Group started adding more resources, it became clear that they needed a more robust solution.

“Having different versions in Excel can quickly turn into a big headache when you think you’re locked and then someone else makes an edit,” she notes. Inconsistencies were leading to a lot of back and forth, slowing down the reconciliation process, and increasing admin overhead. Plus, Excel could only take OCL Group so far as clients requested more tailored reporting.

After looking at other solutions, OCL Group chose InEight Billings, which they now use for data capture; payroll, the creation of labor, equipment, materials, services (LEMS); reporting; and many aspects of billing and invoicing. “As our Operations Services Lead, I coordinate administrative roles and responsibilities for the projects, and I also do billing for about half of our projects, so I'm utilizing InEight daily,” says Hendrickson. Hendrickson notes that she appreciates the level of flexibility that InEight Billings provides—particularly the ability to tailor fields and reports to match client requirements—and how well it supports their integrated administrative processes.

OCL’s current workflow involves using InEight Billings for time sheets, rate tables, project setup, work breakdown structures, daily reports, and locking transactions in Billings. Then the team exports the data to Eclipse for payroll management, and to Google to create specialized project invoices. “I couldn’t do my job without every feature that we use within Billings,” says Hendrickson. “If we’re doing time and materials work, we have the LEMS that we've generated in InEight, which the client signs, and then that becomes the backup for our invoices.” Billings has also been useful for getting new members of OCL’s growing admin team up-to-speed quickly. “The Billings test environment is really helpful because we can work in it without modifying our actual data. It’s great for training because we can still do our day-to-day work, and they can practice in an environment that won’t affect our actual data,” says Hendrickson.

“The number one thing for me is that we can lock out transactions and say this is done, this is billed, and no one can easily make changes. That way, when we’re audited, it’s easy for us to present the data that we’ve used because it’s consistent,” says Hendrickson. Billings has also helped OCL Group efficiently meet clients’ expectations for tailored reporting and auditing. “We can use Billings to quickly get our clients exports of exactly what they need in the format they require, without risk of error, and that’s a big win,” Hendrickson says. She shared an anecdote about one of the company’s biggest clients requesting five years of past billing data. “It’s so helpful when you can just easily pull something, especially when it's for a big client who has done several different projects over a five-year time period—and you know they’re looking for mistakes. InEight makes it so much faster and easier since the data is all in one place and we can be confident that it’s correct,” Hendrickson says.
