For TOYO, having a single source of truth for document management is essential. In TOYO’s previous solution, documents were duplicated any time they moved from internal to external areas, ultimately resulting in misalignment and disruptions in communication.

With InEight Document, only one copy of each document is available, ensuring consistency and accuracy when every person has access to the same, up-to-date version in real time.

“Our clients have direct access to InEight Document so they can get the latest official document any time they want,” Yamada says. “This is also the case for our suppliers, licensors, partners, sub-contractors, and anyone who accesses the system. This saves time compared to our previous solution and reduces barriers in collaboration.”

That transparency is especially crucial when you’re managing 25,000 users across 48 projects.

When TOYO was using its former in-house system, they realized the need for a more collaborative review process, where several users could review a document simultaneously. Managing the review process — including downloading, commenting, uploading, and consolidating documents— was time-consuming.

Now with InEight Document, every project member can view a document’s full history – including who uploaded, accessed, reviewed, or modified it – making the entire process more efficient and accountable. Mohta explains: “That kind of traceability, including how it transmitted, is very helpful for us. Information from InEight Document for every project goes into the dashboard, so our data is consistent and follows all the data governance in terms of consistency and traceability.”

Today, 90-95% of vendors on projects manage their documentation independently using InEight Document, without involvement from TOYO’s document controllers – “a big improvement,” Mohta says.

“For example, when we provide a document to a subcontractor, we don’t have to copy it to another area. We can share the centralized documents directly with the subcontractor through InEight Document,” adds Global Support Team Leader Atsuko Ando.
